Travel Co-ordinator - United Kingdom (Cambridge), Cambridgeshire
Outline of the role:
The role centres around making reservations for group tours sold by our trading Divisions. Reservations are principally for accommodation, air, ferry and coach services. Sometimes these services are booked direct with the supplier concerned and at other times through agents. Frequently, staff specialise in either accommodation or transport reservations. One of the fundamental parts of the role is the ability to form solid relationships with our suppliers and also with our trading Divisions, who are our internal customers. You will need to work closely with all other Co-ordinators and Administrators to support each other as necessary.
Primary Responsibilities:
· To make group bookings as requested by our trading Divisions with contracted accommodation and transport. This will be carried out by phone, fax and email to our suppliers both in the UK and worldwide
· To make amendments to group bookings previously made with our suppliers
· To use experience and initiative to source accommodation or transport services when they are in short supply
· To use experience to monitor, retain and secure key dates and allocations with suppliers as and when necessary
· To take full responsibility for a defined area which will be allocated to you
· Obtaining one-off quotes for accommodation and transport services which fall within your area of responsibility
· To carry out the above tasks within the service levels agreed within our Action Plan
· To liase with our clients trading Divisions to resolve any problems which may arise pre-departure or whilst a group is on tour
· To write, maintain and update descriptions for accommodation used · Where necessary to provide support for other Co-ordinators due to peaks of business or staff absence
Essential Skills:
· Fluency in written and verbal French and one of German (ideally), Spanish or Italian
· Good verbal and written communication skills
· Ability to work on own initiative and to prioritise workload under pressure
· A commercial approach to decision making with the ability to solve problems
· A desire to deliver excellent customer service skills
· Highly organised with the ability to work quickly and accurately to deadlines whilst ensuring that all functions of the job are met
· Resourceful and proactive approach to work
· Good negotiation skills
· Professional attitude when liasing with internal clients and suppliers
· Good knowledge of IT including standard Microsoft applications
